Billing arrangements

However your practitioners are paid, we've got it covered.

Every clinic runs a mix — a commission collector here, a self-collector there, maybe a salaried associate. Practishare settles each one correctly, on its own terms, in the same billing run.

💳
Self-collector
They take payment straight from the patient — so it's the clinic that's owed a share back, not the other way round.
  • Patient paysThe practitioner, directly
  • Practishare settlesThe clinic's share, billed back to them
  • GST followsThe clinic's own registration
  • Xero documentTax Invoice
🤝
Commission collector
The clinic banks the patient's payment and pays the practitioner their agreed percentage.
  • Patient paysThe clinic
  • Practishare settlesTheir percentage, paid out to them
  • GST followsTheir own registration
  • Xero documentRCTI (bill)
🏢
Agency collector
The clinic collects on the practitioner's behalf and charges a service fee for doing it.
  • Patient paysThe clinic, on their behalf
  • Practishare settlesWhat's left after the clinic's service fee
  • GST followsThe clinic's registration, on the fee only
  • Xero documentRCTI (bill)

Employee
Salaried or paid hourly — not tied to what any one patient paid on any one day.
  • Patient paysThe clinic
  • Practishare settlesNothing per-visit — tracked against real appointment revenue for margin reporting instead
  • GST followsN/A — not a commercial settlement
  • Xero documentNone — payroll runs outside Practishare

Four arrangements, one settlement engine.

Arrangement Who banks the patient's payment What Practishare settles GST decided by Document in Xero
Self-collector They do The clinic's share, billed back to them The clinic's registration Tax Invoice
Commission collector The clinic Their percentage, paid to them Their own registration RCTI (bill)
Agency collector The clinic, on their behalf What's left after the clinic's fee The clinic's registration (fee only) RCTI (bill)
Employee The clinic Salary or hourly pay — tracked for margin, not per visit N/A None

One clinic, four arrangements, no manual math.

Mixed arrangements in one run
A clinic with three commission collectors, a self-collector and a salaried associate settles all of them in the same billing period — each by their own configured arrangement.
Item-level rules, not one flat percentage
A standard consult, a concession, a DVA visit, an EPC or a cancellation fee can each settle by their own rule — nothing gets guessed at from the invoice price alone.
GST follows the right party, automatically
A commission or agency arrangement follows the practitioner's own GST registration; a self-collector's charge-back follows the clinic's — never a single blanket assumption.
Retail products never dilute a settlement
A mixed invoice is split into treatment and product before it's settled — stock sales stay the clinic's, whichever arrangement the practitioner is on.

Billing arrangements FAQ

Can practitioners at the same clinic be on different arrangements?
Yes — that's the normal case, not an edge case. Each practitioner has their own arrangement configured, and a single billing run settles every one of them correctly at once.
Can one practitioner mix a commission rate with flat-fee items?
Yes — settlement rules apply per invoice line, not per practitioner. A practitioner can earn their usual percentage on standard consults while a cancellation fee or case-conference item settles on its own separate rule.
What if a practitioner switches arrangement partway through a period?
Update their contract type in Practishare when it changes — new invoices settle under the new arrangement from that point on, without touching anything already approved.
Does this need Xero?
For the three revenue-share arrangements, yes — settlements post as RCTIs or Tax Invoices with GST and ABNs handled correctly. See Accounting integrations for details.
